USER TIME SUMMARY REPORT
Many Admins have asked for a report that can show you the percent of time spent in each activity per person. You've been able to obtain this information yourself to some degree using the Custom Report and a pivot table outside the system, but it has its limitations and of course is time-consuming. We've been spending months working on a new report that meets this need and more.
You'll find the report (if you're an Admin) under Summary Reports > User Time Summary.
When you load the report, select a date range (and other filters if desired), then opt whether you want to view results by Activity or by Type (i.e. Activity Type). When you run the report, the screen shows you only a few columns; export the report to get the full benefit of this new report.
INCREASED TRANSPARENCY
You'll now see two additional pieces of information on a time study:
- Deadline Date - this shows at the top of the time study to provide Reporters with the information needed to be sure that they complete their time study on time.
- Submitted Date/time - this shows at the bottom of a submitted time study. It previously showed in the Print view but now is more accessible.

CHANGING DEFAULT SUPPORTER/ADMIN SETTINGS
When you are adding a new Supporter or Admin to the system, you see these two settings under the Permissions section. Previously, they defaulted to YES but now they default to NO.
If you need a reminder on what they mean:
When you set Support Staff Approve Time Records to Yes on a Supporter's profile, then you're enabling the Approval Workflow for them. The time studies that are submitted by any Reporter assigned to this Supporter will become Pending instead of automatically Completed. Once a time study is Pending, then the Supporter is required to go to the Approval Status report in order to review and approve or reopen the time study. If the Supporter does not do this, then the time study hours are not counted.
When you set Support Staff Submit Time Records to Yes on a Supporter or Admin's profile, then they have the permission to click the attest checkbox and click Submit on behalf of a Reporter. Even with this setting on No, all Supporters or Admin can still go in and enter hours on those time studies, clicking HOLD for the Reporter to view later, review, attest, and submit.
Please pay attention when adding a new Supporter or Admin and make a decision on whether your users should have these responsibilities enabled.
CHECKBOXES REPLACE MULTI-SELECT BOX
You may have struggled in the End Users report, the manage Time Periods page, or the manage Activities page with the selection box. It was easy to accidentally unselect options when you were trying to select multiples. In order to improve ease of use, we have changed the selection mechanism to checkboxes instead.

We have pushed a new deployment this morning. We've been working on a lot of things behind the scenes, including the upcoming User Time Summary Report, but you should not notice any changes at this time.
Our latest deployment was rolled out Friday Oct 6. The User Time Summary report is coming along but is not yet ready for general consumption. No changes to report at this time.

The User Time Summary, coming soon, will be able to be exported broken out by Activity or by Type. There will be one row per user, which will show their Total Hours (over your selected date range), as well as the breakdown of hours per Activity OR per Type (Part A, Part B, Pre-transplant, Post-transplant, or Other). Each row will also contain some user information such as: Business Unit, Department, Specialty, assigned Time Form, and assigned organs. These will allow you to easily filter by various groupings. If your organization is not currently utilizing the power of Business Unit, Department, or Specialty, please create a support ticket and we can review them together to optimize your data setup.
In order for the "By Type" export to have any meaning, your Activities must be defined by Type. If you'd like to review with me whether your Activities are set up in the optimal manner, so that you will be ready to use the User Time Summary as soon as it becomes available, please create a support ticket. I can also provide for you a small sample of what the User Time Summary will look like based on your current Activities and Types.
